Launching Your Clinic App: A 30-Day Onboarding Plan

A loyalty app only works when patients and staff actually use it. A week-by-week plan to set up, train your team and get your first patients onboard.

Buying a platform is the easy part. What decides the outcome is the first month: whether the team understands it, whether patients hear about it at the right moment, and whether the first reward feels real. Clinics that treat the launch as a project with a clear plan get the habit going quickly. This 30-day plan breaks it into four weeks that any clinic can follow.

Before you start: decide three things

  • The goal: more repeat visits, fewer no-shows, more referrals, or all three in order of priority.
  • The offer: how patients earn points and what the first reward is.
  • The owner: one person at the clinic responsible for the launch and for questions.

Week 1: Set up and brand

  1. Add your clinic details, branches, doctors and services.
  2. Set your colours and logo so the app feels like your clinic.
  3. Configure the earning rules and a first small reward.
  4. Set up staff accounts with appropriate access for owners, managers and the front desk.
  5. Write the welcome message and the reminder wording in your clinic's voice, in English and Arabic.

Do a test run with the team: create a test patient, book a visit, earn points and redeem a reward. Anything confusing to you will confuse patients.

Week 2: Train the team

Your reception team is the biggest factor in patient adoption. They meet every patient, at the moment when a quick invitation works best.

Give them a script

A single sentence is enough: "Download our app and you will earn points on every visit towards free treatments." Practise it together so it feels natural.

Prepare for the common questions

  • How do I earn points?
  • When can I use them?
  • Do they expire?
  • What if I change my phone?

Put the answers on a one-page sheet at the desk. Encourage staff to help patients install and sign in during the visit, since many will not do it later.

Make it part of the checkout

Add a step to the end of every visit: check the patient is registered, confirm the points were added, and book the next appointment.

Week 3: Soft launch with loyal patients

Start with a group of 30 to 50 of your most loyal patients. Invite them personally, by a WhatsApp message or in the clinic, and ask for honest feedback. Watch for friction: sign-in problems, unclear wording, rewards that seem out of reach. Fix what you learn before opening wide.

  1. Send a personal invitation with a link and a short explanation.
  2. Check that points show up correctly after their next visits.
  3. Collect feedback from a few patients by message or in person.
  4. Adjust wording and rules.

Week 4: Open to everyone

Now announce the program to every patient. Combine several touchpoints so people see it more than once:

  • A poster and QR code at reception and in treatment rooms.
  • A message to your patient list on WhatsApp.
  • A mention in appointment reminders.
  • A short announcement on the clinic's social channels.

Consider a limited launch bonus, such as extra points for installing the app in the first month. It gives a reason to act now.

What to measure in the first month

  • Patients registered, as a share of patients seen.
  • Patients who earned their first points.
  • Repeat visits among registered patients.
  • Questions staff received, which show what needs explaining better.

Do not judge the program by revenue in the first thirty days. Adoption is the leading indicator. Repeat visits and retention follow in the months after.

Common launch mistakes

  • Launching to everyone before testing with a small group.
  • Leaving the front desk to figure it out alone.
  • Making the first reward too difficult to reach.
  • Forgetting to mention the app in reminders and thank-you messages.

After day 30

Pick the next improvement: adding tiers, a referral reward, or reminders for lapsed patients. One new feature each month keeps the program fresh without overwhelming the team.
